I’ve Found the Wedding Venue. Now What?
Securing a venue feels like the moment everything becomes real. In a sense it is. It is also the moment the actual complexity of a destination wedding in Italy begins — and most couples are not told this until they are already inside it.
Here is what needs to happen next, and why the order matters more than most people realise.
The first thing to do after signing a venue contract
Read it. Carefully. All of it.
Venue contracts in Italy frequently contain minimum spend clauses, preferred supplier lists, corkage fees, noise curfews, access restrictions and accommodation obligations that directly shape what your wedding can and cannot be. Many couples discover these details months into the planning process, when changing course is expensive and sometimes impossible.
Before you celebrate, understand exactly what you have committed to — and what it means for every decision that follows.
The sequence that most couples get wrong
After the venue, the instinct is to move to the visible things — florals, photography, dress. These feel exciting. They are also, at this stage, premature.
The decisions that need to happen first are the structural ones: accommodation strategy, guest transportation, catering framework and — if you are marrying civilly in Italy — the legal documentation process. These have the longest lead times, the most dependencies and the least flexibility. Getting them wrong, or leaving them too late, creates problems that no amount of beautiful florals will fix.
A practical example: guest accommodation. In rural venues across central Italy, the available rooms within a reasonable distance of the venue are finite. If you wait until six months before the wedding to address accommodation, you will spend significant time and money solving a problem that did not need to exist.
What an all-in-one planning structure actually means in practice
For international couples, the question of who manages what is not administrative. It is the difference between a planning process that feels coherent and one that feels like managing multiple contractors who have never met each other.
At Timeless Amour Weddings®, we operate as a complete planning structure — venue search, civil ceremony support, design direction, vendor coordination, guest logistics and full day management. This is not a package. It is an approach. One point of contact, one coherent vision, one person who holds the whole picture at every stage.
For a couple planning from New York, Dublin or London, this is not a luxury. It is the only model that actually works across a distance.
The one thing to do right now
Within the next two weeks of signing your venue contract, request a full list of your venue's preferred and exclusive suppliers, their noise curfew, their weather contingency policy and the exact accommodation available on site and within five kilometres. Put this information in one document. Every planning decision you make from this point will be better for having it.
At Timeless Amour Weddings®, we work with couples from the moment a venue is secured — building the structure that turns a beautiful location into a complete, coherent experience. Get in touch and let's map out what comes next.
